012 | How to Use AI to Operationalize Your Business: Structure First, Then Speed

AI can help you work faster, but speed without structure can create more confusion, not less. Before you automate workflows, generate documentation, or use AI to accelerate execution, your business needs clear processes, roles, standards, and operational expectations.

In this episode of The Optima Method, Saskia breaks down where AI actually fits inside business operations and how to use it to strengthen SOPs, optimize workflows, standardize communication, reduce repetitive work, and increase execution speed.

What You’ll Learn

In this episode, you'll learn:

  • Why AI should accelerate your operations, not define them

  • Why unclear processes can cause AI to amplify confusion

  • What needs to be defined before you introduce AI into a workflow

  • How AI can help draft and refine SOPs

  • How to use AI to identify workflow redundancies and automation opportunities

  • How AI can standardize communication across your business

  • Where AI can reduce repetitive cognitive work

  • How structured prompt frameworks create better AI outputs

  • Why AI-generated work still needs review and approval controls

  • How to determine which work should be accelerated with AI

  • Why sustainable scale requires structure before speed

Where Are You Trying to Move Faster Without Structure?

Before asking:

“How can I use AI in my business?”

Ask:

“Is the process I'm asking AI to accelerate actually defined?”

AI can help you move faster.

But it still needs direction.

Your:

Vision provides the direction.

Processes provide the structure.

AI provides the acceleration.

The Optima Method is built around six foundations:

Vision • Operations • Process • Leadership • Growth • Personal

Before adding another AI tool or automation, identify whether the foundation underneath the work is strong enough to support it.

Take the Free Business Foundation Assessment

Identify where your business needs stronger structure before you attempt to accelerate it.

Already Know What You Need to Build?

Give AI something structured to work with.

The Optima Foundation Academy gives you ready-to-use templates, guides, SOP frameworks, and operational tools designed to help you establish the structure AI needs to become genuinely useful.

Define your processes.

Build your SOPs.

Clarify ownership.

Document your workflows.

Then use AI to make those systems faster and more efficient.

Where AI Fits Into Your Business Operations

1. Draft and Refine Your SOPs

You define the process first.

Then AI can help you:

  • Format the SOP

  • Structure the information

  • Standardize language

  • Identify potential gaps

  • Clarify roles

  • Create checklists

  • Turn existing documentation into onboarding materials

AI doesn't need to invent how your business operates.

It should help you organize and strengthen what you've already defined.

2. Optimize Your Workflows

Once you've mapped a workflow, AI can help analyze it.

Use AI to:

  • Identify redundancies

  • Find repetitive steps

  • Suggest automation opportunities

  • Rewrite decision trees

  • Generate checklists

  • Create audit questions

  • Identify potential inefficiencies

Give AI something structured to analyze and it can become an operational support tool.

3. Standardize Communication

Inconsistent communication creates unnecessary operational friction.

AI can help you develop:

  • Email templates

  • Client response frameworks

  • Standard terminology

  • Meeting agendas

  • Meeting summaries

  • Action items

  • Reporting summaries

  • Internal communication templates

The goal isn't simply faster communication.

It's more consistent communication.

4. Increase Execution Speed

This is where AI can create significant leverage.

AI can help accelerate:

  • Policies

  • Training guides

  • Performance review templates

  • Executive summaries

  • Board updates

  • Documentation

  • Reports

  • Repetitive administrative work

Work that previously required hours may take significantly less time.

But remember:

AI increases throughput. You still provide the clarity.

The AI Operationalization Sequence

Step 1: Create Your Operational Blueprint

Before accelerating anything, define your foundation.

Document:

  • Business pillars

  • Roles and responsibilities

  • Workflows

  • Decision thresholds

  • Standards

  • Master SOP

Give AI an operational architecture to work within.

Step 2: Identify Repetitive Cognitive Work

Look for work you're repeatedly recreating.

Ask:

  • Am I rewriting similar emails?

  • Am I rebuilding similar presentations?

  • Am I repeatedly creating the same documentation?

  • Am I summarizing similar reports?

  • Am I recreating meeting notes and action items?

  • Am I repeatedly formatting the same information?

That's where AI may provide immediate leverage.

Step 3: Build Prompt Frameworks

Move away from completely random prompts.

Give AI context around:

Role + Objective + Audience + Output Format + Constraints + Standards

The more clearly you define what you need, the more useful the output becomes.

AI should operate inside your framework, not create the framework for you.

Step 4: Implement Review Controls

AI-generated output should still be:

Reviewed.

Validated.

Approved.

Define who has authority to make the final decision.

AI supports execution.

Leadership still decides.

One Action to Take After This Episode

Choose one repetitive task you perform every week.

Don't automate it immediately.

First ask:

Is the process defined?

Can you clearly explain how the work should happen?

Is the expected outcome documented?

What does good look like?

Are the standards clear?

What rules should the output follow?

Is ownership defined?

Who reviews and approves the work?

Where is the repetition?

What part of the process requires unnecessary manual thinking or recreation?

Once those answers are clear, ask:

“How could AI accelerate this part of the process?”

That's where you start.

Not with another AI tool.

Not with another automation.

Structure first. Then speed.
